Configure Scan to E-mail Using CentreWare Internet Services (CWIS)

To set up the Scan to E-mail function, the WorkCentre must be connected to the network.

  1. From a computer, open an Internet browser window.
  2. Enter the IP address of the printer in the Address field, and then press [Enter] on the keyboard. The CentreWare Internet Services (CWIS) window will be displayed.
  3. Click on the [Properties] tab.
  4. Enter the user name and password in the fields provided, and then click on the [Login] button.

    NOTE: The default username is "admin" (case sensitive), and the default password is "1111".

  5. Click on [Connectivity] to expand the list of options.
  6. Click on [Protocols] or [Setup] to expand the list.
  7. Click on [SMTP (E-mail)] in the directory tree.
  8. If necessary, select Required Information to configure SMTP server settings.
  9. Click on [Use DNS (to identify SMTP Server)] to have the server information automatically detected and then skip to step 12, or click on [Specify SMTP Server manually] to input the server information and continue with the next step.
  10. Click on the [IPv4 Address], [IPv6 Address] or [Host Name] radio button.
  11. Enter the SMTP server’s IP address or Host Name in the fields provide.

    NOTE: If using the SMTP Host Name, the DNS server address must be configured after step 23.

  12. Enter a valid e-mail address in the E-mail Address field.
  13. If necessary, configure the login credentials the printer will use to access the SMTP server by clicking on the [SMTP Authentication] tab.
  14. If necessary, configure the encryption mechanism used by the printer when communicating with the SMTP server by clicking on the [Connection Encryption] tab.
  15. If necessary, modify the file size settings by clicking on the [File Size Management] tab.
  16. Click on the [Apply] button. A "Properties have been successfully modified" message will be displayed.
  17. Click [OK].
  18. Click on [Services] on the left window pane to expand the list of options.
  19. Click on [E-mail] to expand the list.
  20. Click on [Setup].
  21. On the Required Settings tab, click on the [Edit] button for the From Field section.
    1. Enter a valid e-mail address in the From Address field. If necessary, enter a "From" name.
    2. If necessary, click on the check box to allow authenticated users to edit the From field.
    3. If necessary, click on the radio button to allow the From field to be edited when authorization is not required.
    4. Click on the [Save] button to apply the settings.
  22. Click on the [General] tab.
    1. Edit the default subject, as necessary, in the field provided.
    2. Edit the default message body, as necessary, in the field provided.
    3. Click on the check boxes in the required check boxes.
    4. Edit the default signature, if necessary, in the Signature fields.
    5. Select the required Confirmation Report from the Confirmation Sheet menu.
    6. If required, click on the check box next to [Enabled] for the Auto Add Me option.
    7. Click on the [Save] button to apply the settings.
  23. Configure the DNS server IP address. The TCP/IP Domain Name must be configured for e-mail to function. Perform the following steps to configure the domain name:
    1. Click on [Connectivity] on the left to expand the list of options.
    2. Click on [Protocols] or [Setup].
    3. Click on [IP (Internet Protocol)].
    4. Click on the [DNS] tab.
    5. Enter the domain name in the Domain Name field. If the WorkCentre is set up for Dynamic addressing, the domain name will not be accessible. To change it, click on [Static] from the IP Address Resolution menu.
    6. Click on the [Apply] button.
    7. If using a SMTP Host Name, the DNS server address must be configured. Enter the IP address for the DNS server in the Primary DNS Server field, and then click on [Apply].
  24. Click [OK].
  25. Click on the [Logout] link and logout of CWIS.
  26. Close the browser window.
